Privacy Policy
Effective [Effective date]
Memory Eternal helps families gather photos, videos, voice recordings, and stories about someone they love. This policy explains what information we collect, how we use it, who can see it, and the choices you have. “We” and “us” means Memory Eternal. If you have questions, email us at [contact email].
The short version
- The family controls each memorial: they approve, hide, or delete what's shared.
- We don't sell your information, show ads, or use advertising trackers.
- Location data is removed from photos and videos before they're stored.
- Reminder emails are optional, kept private, and every one has an unsubscribe link.
- You can ask us to remove anything you shared.
Information we collect
When you share a memory
- What you share: photos, videos, voice recordings, written stories, verses, and captions.
- About you: the name you enter, how you knew the person (for example “Friend” or “Third grade, 1984”), and the month and year you give for the memory.
- Hidden details inside your files: photos and videos can contain the date they were taken, the camera used, and sometimes the location. Your phone reads the date to fill in the month and year for you. Before a photo is uploaded, your phone redraws it without these hidden details, and our server removes them again when it stores the photo. For videos, the location is blanked out on your phone before upload. We don't keep the location of anything you share.
- Your email, only if you ask for reminders: if you tick the reminder box, we store your email to send birthday and anniversary reminders for that memorial.
When you report a memory
- The reason you choose, anything you write, and your email if you give it so we can follow up.
When you organize a memorial or order a book
- Account: your email address, used to send you sign-in links and, if you choose, emails about new memories waiting for approval.
- Memorial details: the name, dates, hometown, biography, and photos you add for your loved one.
- Invitations: the email address of anyone you invite to help manage a memorial, until they accept or the invitation expires.
- Photo book orders: your name, email, phone number (optional), shipping address, number of copies, and notes.
Automatically
- Basic technical information: our hosting providers keep standard logs (such as IP address, browser type, and pages requested) to run the service and keep it secure. To prevent spam, we keep a one-way scrambled fingerprint of your IP address (not the address itself) for up to two days.
- Storage on your device: your browser remembers your sign-in, the name, relationship, and reminder email you last used when sharing, and slideshow settings, so you don't have to re-enter them. We don't use advertising or analytics cookies.
How we use information
- To show memorials and the memories shared on them.
- To let organizers review, approve, hide, delete, download, and print memories.
- To send sign-in links, reminder emails you asked for, notices to organizers about new memories, and messages about book orders.
- To make printed photo books when an organizer orders one.
- To review reports, keep the service secure, prevent spam and abuse, and follow the law.
Who can see what
- Approved memories on a public memorial can be seen by anyone who has the memorial's link or scans its QR code. Your name and how you knew the person appear with what you shared. Memorials are not listed in search engines.
- Memories waiting for approval or hidden by the family are visible only to that memorial's organizers.
- Private memorials are visible only to their organizers.
- Uploaded files are stored privately. They can only be opened through short-lived links that we create for people allowed to see that memory.
- Reminder emails, reports, and book order details are never shown on memorials. Organizers see the reason for a report, but not who sent it.
Who we share information with
We don't sell or rent personal information, and we don't share it for advertising. We share it only:
- With service providers that run parts of Memory Eternal for us: Supabase (database, sign-in, and file storage), Vercel (website hosting), Resend (sign-in, reminder, and notification emails), our printing partner (photo book orders), and, when we add online payments, our payment processor. They may use the information only to provide their services to us.
- With the family: organizers of a memorial can see and download everything shared on it.
- When required by law, or to protect the safety and rights of people and of Memory Eternal.
- If our business changes hands, with the new owner, who must keep honoring this policy for information collected under it.
How long we keep information
- Memories stay until the family removes them, the memorial is deleted, or you ask us to remove what you shared.
- Reminder emails are kept until you unsubscribe or the memorial is deleted.
- Invitations are kept until they're accepted, cancelled, or expire after 14 days.
- Book order details are kept as long as needed to fulfill the order and keep business records.
- Deleted information may remain in backups for a short time before it's overwritten.
Your choices and rights
- Remove something you shared: ask the family organizer, use the “Report” link on the memory, or email [contact email] with the memorial and what to remove.
- Stop reminder emails: click “Stop these reminders” in any reminder email.
- Organizers can hide or delete any memory, turn off notification emails, and delete the whole memorial in Settings.
- Access, correct, or delete your information: email [contact email]. Depending on where you live (for example California and several other states), you may have specific legal rights to know, correct, or delete personal information and to not be discriminated against for using them. We honor these requests for everyone. We don't sell or “share” personal information as those laws define it.
Children
Memory Eternal isn't meant for children under 13 to use on their own, and we don't knowingly collect personal information from them. If you believe a child under 13 has given us personal information, email [contact email] and we'll delete it. Photos of children are shared by and at the discretion of their families.
Security
We use reputable providers and reasonable safeguards, such as encrypted connections, private file storage, and access rules enforced by our database that limit who can see unapproved memories. No online service is perfectly secure, so we can't guarantee absolute security.
Changes to this policy
If we make important changes, we'll update the date above and, when appropriate, tell organizers by email before the changes take effect.
